How to Record a New Expense

Log a business expense with its date, category, and amount, and optionally record a payment against it.

This guide shows you how to record a new expense, like rent, utilities, or supplies.

  1. Open Expenses. Click Expenses in the top menu, then Record a New Expense.
  2. Set the Expense Date. Pick the date the expense was incurred.
  3. Choose a Category. Select an existing category (e.g. Rent, Utilities), or add a new one on the spot if the one you need doesn't exist yet.
  4. Add a Description. Write a short note like "Office Rent — September" so it's clear later what this was for.
  5. Enter the Total Expense Amount. This is the full amount owed for this expense in RWF.
  6. Record a payment, if you're paying now. If you have permission to create expense payments, you can log how much you're paying immediately and by which method — useful if you're only paying part of the total now.
  7. Save the expense. It now appears in your Expenses list and feeds into your Profit & Loss and expense reports.
