How to Add a New Article (Product)

Step-by-step guide to adding a new product with pricing, units, and stock

This guide shows you how to add a new product (called an Article) to your inventory in Ijisho Management System.

  1. Open the Articles page. From your Dashboard, click Articles in the top menu bar. This takes you to the Articles list, where you can see your Total Items, items Expiring Soon, and items that are Expired/Empty.
  2. Click "+ New Product". In the top-right corner of the Articles page, click the blue + New Product button. This opens the Add New Article form, split into three sections: Product Identity, Pricing Matrix, and Inventory & Config.
  3. Choose the Item Type. Under Product Identity, the Item Type dropdown defaults to Physical Product (Track Inventory) — use this for anything you stock and sell.
If you're adding something like labor or a service instead, switch it to Service / Labor (No Inventory). This hides the stock and barcode fields since services aren't tracked as inventory.
  4. Enter the Article Name. Type the product's name (e.g. "Chocolate"). This field is required.
  5. Set the Measurement Unit. Choose how this product is bought and sold, e.g. Bag / Kg, Carton / Piece, Jerrycan / Liter, or Box / Item. The first word is the bigger unit (how you buy it), the second is the smaller unit (how you sell it).
  6. Add a Barcode (optional). If the product has a barcode, scan it or type it into the Barcode (UPC/EAN) field. You can leave this blank and add it later.
  7. Fill in the Pricing Matrix. Enter your Cost Prices (what you pay) and Selling Prices (what customers pay) for both the big and small unit — for example Cost/Bag, Cost/Kg, Sell/Bag, Sell/Kg.
If this product is sold in three levels (e.g. Carton → Pack → Piece), check Enable 3-Tier Mode first — this reveals an extra "Pack" row for cost and selling price.
  8. Set up the unit conversion. In Inventory & Config, tell the system how many small units fit in one big unit — e.g. "How many Kgs inside a Bag?". This is what lets Ijisho automatically convert stock between units.
  9. Enter your Initial Stock. Type how many units you currently have on hand, split by Bags and Kgs (or whatever units you chose).
  10. Review the Batch Number. A Batch Number is auto-generated for you (e.g. BN-20260914-CFE6). Click the refresh icon next to it if you want a new one, or leave it as is.
  11. Set Expiration Date and Low Stock Threshold (optional). If the product expires, pick a date. Set the Low Stock Threshold to the quantity at which you want to be warned that stock is running low (default is 2).
  12. Save the Article. Click the blue Save Article button at the top right. Your new product now appears in the Articles list with its current stock level and expiry status.

Tip: if you sell the same product to different customers in different unit sizes (for example loose Kgs and whole Bags), Ijisho handles this automatically once you've set the "how many Kgs inside a Bag" conversion — you don't need to create separate articles for each.
